OA LodgeMaster Users,

On February 13, 2024, the OA LodgeMaster Team released online Lodge Client version 4.5.3-5. This release introduces a new email editor, a new adult nomination email, and numerous bug fixes and improvements.

The new release includes a new email editor, which should be easier to use and work better with the rest of the interface. As part of the release, we’ve updated the OALM Data Retention policy found here. The image library has been removed from the email editor and image uploads will be stored per email. Previously uploaded images will be deleted along with the email they were sent in and emails will now be retained for two years. A cleanup process will start soon to cleanup emails older than two years.

We also added a new adult nomination reminder email. Any user with view and/or view and edit permission will receive a weekly email for any pending adult nominations.

The OA LodgeMaster Team is excited to announce the immediate release of version 4.5.1! This release includes 25 improvements and corrects 82 bugs. The release also includes 3 new major features - the final pieces of the induction module and all related automated emails, member portal features for new members and brotherhood candidates, and the full release of the member portal for use by all members including membership cards and email unsubscribe links. For lodges who requested offline access, this version includes an update to the offline Lodge Client. 

Inductions Module

Member Portal

  • Added a New Member Journey and Brotherhood Journey to the member portal for candidates. The New Member Journey will automatically be available for new Ordeal members who have completed their Ordeal and are not yet eligible to complete their Brotherhood. New members eligible to complete their Brotherhood will see the new Brotherhood Journey. Lodges can add custom steps to the New Member and Brotherhood Journeys from Inductions Setup. The existing content from JumpStart has been included in the new journeys.
  • For Brotherhood eligible candidates the member portal will promote upcoming events where brotherhood is being offered. Brotherhood candidates will see details of the event and a link to register.
  • Digital membership cards! We have added digital membership cards to the member portal for all Arrowmen. Visit the Update Your Profile page to download your membership card!
  • In addition to membership cards, we have added additional profile information to the member portal. Arrowmen can now see their current dues status, unit and chapter information, and their level information.
  • Email unsubscribe links! Arrowmen can now unsubscribe from lodge emails on their own with a link included in the footer of every email. Lodge Administrators will no longer need to manually unsubscribe Arrowmen from emails.
  • A new bulk invite function has been added to the member grid to allow lodge administrators to bulk invite their members to the member portal.

OA LodgeMaster Users,

OA LodgeMaster will be unavailable on Monday, May 24, 2021, from 1:00 PM EDT – 6:00 PM EDT. During this time, the OA LodgeMaster team will be deploying OA LodgeMaster 4.5.1. During the maintenance window, you will not be able to login to the LodgeMaster Online Lodge Client or perform a sync in the Offline Lodge Client. You can follow the status of the maintenance on the OA status page at https://status.oa-bsa.org. Once the maintenance is complete, we will post an update to the status page. We do not expect the upgrades to take the full 6 hours. In the event we need to extend the maintenance window for an unforeseen reason, we will communicate the extended maintenance window on the OA status page.

Important notes about our OA LodgeMaster 4.5.1 release:

  • We will be enabling the final three emails within the new Inductions Module. The New Member Follow-up Message, Brotherhood Eligible Message, and Brotherhood Preparation Message will be enabled as part of the 4.5.1 release. Details of these emails can be found here. Lodge Administrators should familiarize themselves with the details of these emails prior to the release.
  • We will be adding a New Member Journey and Brotherhood Journey to the member portal. The New Member Journey will automatically be available for new Ordeal members who have completed their Ordeal and are not yet eligible to complete their Brotherhood. New members eligible to complete their Brotherhood will see the new Brotherhood Journey. Lodges can add custom steps to the New Member and Brotherhood Journeys from Inductions Setup. Important Offline Lodge Client Information

Beginning in 4.5.1 the Offline Lodge Client will transition to only being available to lodges who requested offline access. If your lodge has requested offline access, please review the Offline Client Update Instructions below. If your lodge administrator did not request offline access, you will not be able to install 4.5.1. Please check with your lodge administrator if you use the offline lodge client to ensure that they have requested offline access. More information about our changes to the offline lodge client can be found here.

Offline Client Update Instructions

Offline Lodge Client users will need to sync before running the offline 4.5.1 installer. You will receive a warning message in the installer reminding you to sync before installing, this is very important, and you should make sure you have synced any changes before upgrading. Once you install and run version 4.5.1 your local database will be cleared and then updated with the new database structure and your lodge data will be downloaded again. Please let all your users know this important note. Failure to perform a sync prior to updating to 4.5.1 will result in the loss of data and the LodgeMaster team is unable to recover lost data. *Note: A change from what was announced on 4/5/2021 - the emails for callout and ordeal registration emails will only be sent if your lodge utilizes the new Inductions Module. This was based on user feedback that we need to ensure that all candidates have been announced. If you are not utilizing the new Inductions Module the first email a candidates would get is the Ordeal Preparation Message after registering for their ordeal.

The following emails will not be enabled until the Brotherhood components of the new member portal are released, which is targeted for mid-May. We had originally announced that the Brotherhood Preparation Message would be enabled as part of update V but are going to release that at a later date. We felt that it was important for the final pieces of the member portal be in place before releasing these emails.

Additionally, the electronic adult nomination form is now available for unit and district/council nominations. Links to access the unit adult nomination form will be sent to unit leaders in the Election Recap Message and can be manually sent from the manage election screen within Visit & Election Management. District/council nomination links can be access from the Common Links menu in the Adult Nominations screen. The adult nomination functionality was shown during our March 31st webinar. LodgeMaster Policy Changes


The OA LodgeMaster Team announced several policy changes at the webinar on March 31, 2021. Policy changes include removing non-members, removing the ability to link members as unit contacts, and the removal of OALM ID and Lodge ID. On Monday, March 29, 2021 the OA LodgeMaster Team will enable the final two unit based automated emails in the inductions module. The Unit - Election Recap Message and the Unit - Regular Follow-Up Message emails will begin sending on March 30, 2021 if configured by your lodge. The Unit - Election Recap Message will be sent at 8AM CST +1 day after the election approval date. The Unit - Regular Follow-Up Message will be sent at 8AM CST on the day of the month defined in the email template. If a date is not defined the email will be sent on the 1st of the month.

OA LodgeMaster Users,

Over the weekend, the OA LodgeMaster Team released an update to the LodgeMaster Lodge Client adding two additional automated emails to the Inductions Module and adding one new enhancement. The Ordeal Candidate Congratulations Letter To Parent and Congratulations Letter To Candidate emails have been enabled and are both now running. If the election results have been marked as announced the emails will be sent at 8:00 AM CST one day after the election results have been approved. If the election results are set to be announced at a future date; the emails will be sent at 8:00 AM CST on the announced date.

On Monday, March 1, 2021 the LodgeMaster will automatically send the Congratulations Letter To Parent and Congratulations Letter To Candidate emails to any 2021 ordeal candidate entered prior to February 21, 2021 if the results are marked as announced. Candidates with an announcement date in the future will receive their email at 8:00 AM CST on the announcement date as described above.

In addition to the new automated emails, we have added council time zone to Lodge Configuration. We have automatically populated this based on your council service center zip code. Please review the time zone we set and adjust as needed. Note: This is the time zone for your council headquarters not your local time zone. If your council spans multiple time zones or you are in a different time zone than your council headquarters this should be set to the time zone of your council office.

The OA LodgeMaster Team is excited to announce the release of the new unit election request portal! The unit election request portal, announced earlier this year at Momentum Spark, allows unit leaders to request their Order of the Arrow unit election electronically via a secure online portal within OA LodgeMaster. We have modified the Election Scheduling Request and Election Scheduling Reminder emails to include links to the new request portal. Lodges can immediately take advantage of the new portal by enabling the Election Scheduling Request and Election Scheduling Reminder emails within the new Inductions Module. If your Election Scheduling Request email has already been sent, the new portal's links will be included in the Election Scheduling Reminder emails. The scheduling links can also be found within the election scheduling dialog box from the Visit & Election Management grid. 


In addition to the release of the election request portal, the OA LodgeMaster Team has released a few additional new features within the Lodge Client. 


  1. We have added the ability for lodges to import candidates into the new inductions module. Once a unit has scheduled their election you will have the ability to import eligible candidates from a CSV/Excel file. 
  2. Added BSA ID duplicate checking when approving posted elections. When Lodge Administrators approve an election, they will now see a message indicating duplicate BSA IDs found. Before an election can be approved all duplicate matches must be resolved. 
  3. Removed the mailing address required fields when adding eligible candidates. We want the new induction tools to be as accessible as possible. Based on community feedback we have removed this requirement. 


Lastly, we want to thank everyone for their support in 2020. We know that every lodge faced unprecedented challenges in 2020. We hope that you find value in these new tools and can use them going into 2021 to rebuild, strengthen and grow your lodge.

The OA LodgeMaster Team has been working on many different projects, including beginning to enable all of the automated induction emails. Today, we are excited to announce that we have enabled the first batch automated emails within the new inductions module! Beginning today the Election Scheduling Request, Election Scheduling Reminder, Election Scheduling Confirmation, Election Preparation Message, and Election Preparation Reminder emails have been enabled.

If you have scheduled either the Election Scheduling Request or Election Scheduling Reminder email to send prior to 12/6/2020 you will need to reschedule these emails to send after 12/6/2020. Previously scheduled Election Scheduling Request emails will not send if the Send On date was before 12/6/2020. Election Scheduling Reminder emails scheduled to send including 12/6/2020 and later will be sent. We strongly recommend that you reconfigure your Election Scheduling Reminder email to be sent after your Election Scheduling Request email is sent. Otherwise, it may lead to confusion with your unit leaders. If you do not wish for automated emails to be sent do not configure the Send On date.

Lastly, we wanted to share with everyone an announcement we made at Momentum Spark. Due to resource limitations the development of the OA unit leader portal within Scoutbook and Internet Advancement has been delayed until 2021. The LodgeMaster Team realized that not having an electronic request portal for the 2021 election cycle would limit the ability for many lodges to use the new induction tools, so later this month we will be releasing our own request portal within OA LodgeMaster. Unit leaders will receive a link to a request portal where they will be able schedule their election electronically with their Lodge. Additionally, lodges will be able to upload candidate information. More details on the request portal will be released later this month.

OA LodgeMaster Users,

The OA LodgeMaster Team is excited to announce the immediate release of version 4.5.0! We have added two new features in this release - the brand-new inductions module and phase one of the member portal! We have also fixed eight bugs and made four minor improvements. This version also includes an update to the offline Lodge Client.

Important notes about this release:

  • The new inductions module is intended to be used for your upcoming 2021 election season starting this fall or winter - lodges should plan to use the module when they begin their new election season. Lodges can also use the module for any elections you have not input or are still doing for 2020, but there is not an option to import past elections or candidates into the module.
  • The inductions module for some lodges may currently default to 2020, but if you want to setup inductions for the upcoming season starting this fall or winter, make sure to change the year on the dashboard to 2021. Once you cross the start date for your new election cycle, the year will automatically default to 2021.
  • The emails in the communication wizard are currently not running. We will be enabling the emails over the course of the next few weeks in batches. Lodges should begin configuring the email and letter templates now so that they are ready to go when we enable the emails. Lodges should look for the ‘Is Running’ flag to determine if we have enabled each email.
  • A new email type of ‘Lodge’ has been added and existing custom email types of ‘Lodge’ have been migrated to the new system type. The lodge email is intended to be used for a lodge provided email. The lodge email is used in the new member portal in the lodge contact form and communication templates in the new induction module.
  • The member portal is currently intended to only be used by newly elected candidates. Lodge Administrators can invite any member to use the portal, but the current functionality is designed for use by candidates. We would recommend that the number of non-candidates invited to the portal remains minimal and just for testing. Functionality for paying dues, registering for events, viewing membership cards, etc. will be added in 2021.
  • A new single sign-on (SSO) portal has been released to support the new member portal and future apps that use the ArrowID system. Users should update their bookmarks to https://portal.oa-bsa.org.
  • We would encourage everyone to review our webinar from August 19, 2020, where we demo the new inductions module as well as discuss the future of the module. The webinar slides and recording can be found here.

Reminder - 2019 Lodge Performance Management Program
The 2019 Lodge Performance Management Program (PMP) requirements and forms have been loaded into LodgeMaster. Lodges can track their year-end progress in real-time with the PMP Finish Line report.

Offline Client Support Policy
Beginning on November 30, 2020, the Offline Lodge Client will transition to only being available upon request. To gain access to the Offline Lodge Client after November 30, 2020, the designated Lodge Administrators for your lodge will need to submit a request. Requests will be reviewed by the OA LodgeMaster team and access will be granted based on need. Lodge Administrators should look for an email later this week containing details on how to request offline access.

Lodge Support Emails
Later this week, the designated Lodge Administrators for each lodge will receive an email with a link to update or submit a Lodge support email. A valid lodge support email is required for each lodge by September 30, 2020. Lodge support emails are included in the footer of every email sent via LodgeMaster and the new member portal along with the name(s) of your designated Lodge Administrators.


Important Reminders:

  • If you are running the offline program and have an older version (version 4.4.2 or earlier), you must upgrade to a newer version. You are no longer able to sync version 4.4.2 or earlier as of November 25, 2020. More information can be found here.
  • We have a new public feature voting site! The new feature voting site is a community-driven effort to discover the needs of our users. The new platform will allow you, our users, to submit enhancement requests and new feature requests directly to the LodgeMaster Team. Other users will then be able to vote on issues and add comments on the features they want to see added. We are GO for launch! 

The OA LodgeMaster Team is excited to announce the launch of our new digital induction tools! We invite you to join us on August 19, 2020 at 8:00 PM EDT/5:00 PM PDT for our launch event. In this 90-minute webinar we will highlight features of the new tools, cover the project road map, and provide initial training for Lodge Administrators. In addition to our planned content we will have a Q&A session where we, the OA LodgeMaster Team, will answer your questions.
